Responsibilities:

WORK ACTIVITIES/CONTEXT:

  • Foster a friendly, professional atmosphere to help forge a cohesive Department in support of Company objectives.
  • Work with all SWA Departments and Bases to resolve a wide variety of issues impacting Flight Ops Employees.
  • Partner with other Admins and Crew Base Coordinators for administrative-related issues.
  • Maintain distribution lists, Employee information, updates for the Flight Ops tab on SWALife by writing, editing, and selecting content while ensuring information is accurate, relevant, and current.
  • Work with a wide variety of outside vendors.
  • Serve as liaison contact for the Department.
  • Plan, organize, execute and participate in Department functions, special activities and Culture events (Ronald McDonald House, Message to the Field, appreciations,...).
  • Develop communication materials to promote awareness of Company policies and initiatives as well as Department-related issues and activities.
  • Maintain accurate records of attendance for Employees.
  • Conduct fundraising initiatives on behalf of the Department.
  • Respond to inquiries related to leave of absence and disability.
  • Assist Leaders with special projects and presentations.
  • Reconcile Petty Cash, P-card, and Director expense reports and file reimbursement requests through SAP.
  • Act as a liaison with other Departments and Administrators to nurture positive inter-Department relationships, share resources, and improve communication to help ensure the success of our Company.
  • Compile orders for office supplies and other items using the purchasing application.
  • Process travel arrangements for Company business as needed.
  • Handles business process documentation, such as required forms, policies, and procedures.
  • All other variety of special projects and duties as assigned by designated Leader.

May perform other job duties as directed by Employees Leaders.

Qualifications:

BASIC QUALIFICATIONS:

High School Diploma, GED or equivalent education required.

Must be at least 18 years of age.

Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.

EDUCATION:

  • High School diploma or equivalency required. College coursework or degree preferred.

WORK EXPERIENCE:

  • 1 year prior administrative experience required.

PHYSICAL ABILITIES:

  • Must be able to lift up to 70 lbs.

SKILLS/ABILITIES/KNOWLEDGE/WORK STYLE:

  • Must have ability to use a computer with sufficient speed to meet demands of the job. Must be able to master several PC software packages including Word, Excel, PowerPoint, and Outlook.
  • Must be a motivated self-starter able to prioritize and organize multiple projects within time constraints with frequent interruptions. Must have the ability to complete projects/tasks in a timely manner, as well as work with minimal supervision and rely on experience and judgment to plan and accomplish goals.
  • Must possess excellent organizational and coordination skills and must be proficient at time and task management. Must possess excellent follow through.
  • Ability to write reports and business correspondence in keeping with Colleen's Bible.
  • Must be Customer Service oriented and provide a high level of Customer Service internally and externally.
  • Must be able to comply with Company attendance standards as described in established guidelines.
  • Must be able to work well with others as part of a Team.
  • Must have sufficient judgment and maturity to handle and resolve office administrative tasks and handle/resolve people and technical issues.
  • Must be able to work on projects independently.
  • Must be able to successfully operate a multi-line telephone with courtesy, speed and knowledge.
  • Must possess excellent verbal and written communication skills with the ability to provide clear direction/instructions.
  • Must possess strong problem solving abilities and be able to analyze information and make sound decisions.
  • Must be able to handle sensitive information and maintain confidentiality.
  • Must have ability to handle and resolve emergency situations in absence of a Leader.

Must be able to comply with Company attendance standards as described in established guidelines.

OTHER QUALIFICATIONS:

Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines.
